Use a cost-effective approach that includes multiple formats according to demand. Monitor the number of requests you are receiving for multiple formats to determine future budget requirements.
Avoid an inventory: Typically, there will not be a need to keep an inventory of multiple formats because your obligation is to produce upon request. But in some cases, production of multiple formats before any requests is advisable if you anticipate requests based on content, audience and promotion. Use the publication checklist to aid in this decision.
Produce an e-text master: By producing an e-text master, you have prepared the publication for an easy and less expensive transition to multiple formats in the event of requests. Consider having editors of publications responsible for full-text explanations of all visual components of a publication.
Consultation with Clients: In some cases, a client will be able to have full access to the e-text file and therefore not require a more expensive format. Consult with clients to see what format they can access.
Double Up: In some circumstances, it may be appropriate to combine two formats into one. For example, a print product could be produced in large print.
Maintain a list of industry rates: Fees charged by suppliers vary greatly. It's a good idea to contact local suppliers and obtain their fees for multiple formats to assist in future budget planning.
Build in flexibility: Always build in a margin of flexibility for publication production.
